1. Printing Inventory sheet


To print the Inventory sheet, first go to Warehouse Reports and then select Inventory sheet

2. Warehouse - Select Inventory


Click on the sub-menu ''Inventory"


3. List of Inventories

Click on the icon (+) to open a new inventory.



4. Adding the recorded inventory to MetaKocka (Excel table)



1. Select the data editing method (product code/ID) and the date for which the status should be displayed

Optionally, the following can be selected as well: 

a.) Export purchase prices: select this option if stock purchase prices should be checked and added/corrected when conducting inventory

b.) Export allocated costs: select this option if allocated costs should be also checked and added/corrected when conducting inventory

c.) Limitation to categories: if partial inventory should be conducted - select categories only for products in a specified category, for which the inventory will be conducted

Click on the ''Print data'' button and save the created file to your computer. Open the downloaded file. Each warehouse represents a separate tab inside the table.


 

Fill in the table by entering statuses into the ''Inv. stock'' column.



Once the data entry is completed, save the file and import it back to MetaKocka.


Partial inventory:

If partial inventory was conducted, delete all products and warehouses from the table for which the inventory was not conducted - only products that were counted should remain in the table.


Select the table, choose the date when inventory has been conducted, and click on Import data. In case of errors, such will be displayed in the ''Transfer report''. Fix them and re-import data.



5. Inventory extras/shortages

 

After successful data import, a new record, equal to the inventory date will be added to the inventory list



Please select it and click on the printer.



Print the report - Inventory Shortages/Extras and verify the imported inventory.


In case of an error when entering the inventory, delete the imported inventory first.



Correct the incorrect data in the Excel file and reimport it (be careful when selecting the correct date of the conducted inventory)


!IMPORTANT - Inventory is considered as the last document of the day. In this case, at the end of the day, for products, the stock will be displayed as it is in the inventory, no matter whether the other documents, that could impact the stock level, were also created for those products on that day or not - IMPORTANT!


6. Inventory correction - re-importing inventory data to the past


In MetaKocka, past inventory balances can be re-imported or corrected anytime, as the inventory will be recalculated after the import, based on all the entered documents which may affect the stock levels. Functionality is useful in the following cases:


Inventory was conducted and imported on 31.12, but after a couple of months, it was determined that some products had not been captured when the inventory was conducted or that quantities entered were incorrect. In this case, the following steps are required:


1. Search for the Excel file imported as inventory balance. If there is no file, contact our support and we will provide you with one,
2. Correct the Excel file
3. Delete the existing inventory on 31.12. In case of not having the allowed negative stock option selected, there is a possibility that after deleting the existing inventory, certain products would have negative stock, and MetaKocka would not

permit deleting the inventory. In that case, in ''Settings/Your company'' enable the ''Warehouse - negative stock allowed''

4. Import the corrected Excel file.


If the past inventory balance (s) should be obtained based on the current stock status, this can be done in the following way:

1. Conduct the inventory for today's date

2. Display the stock status on the ''desired inventory date''

3. Compare both tables and enter the products that could be missing

4. Import the balance on the desired inventory date
