Nowadays, many companies tend to be cautious when working with supplies, which is the case for manufacturing and trading companies. Due to lower supplies, fast responsiveness, and order fulfillment are much more challenging compared to the past when supplies could be higher.

Reservations functionality ensures the fulfillment of received orders since the stock will be allocated to these orders or work orders with the planned material.

Functionality does not require additional entries, since it operates based on the added sales orders and planned material on work orders.

The entry creates a reservation in the warehouse. 


1. Select a Warehouse



Click on the Warehouse icon (+)




Search for the warehouse and select one.




Reservation is released when the packing list/invoice is created from the sales order or when the planned material is used on the work order. 


2. Report


For better reservation transparency, the report can be printed.

2. On the left side select ''Stock overview with reservations''

3. Click on Print




Aside from data displayed in the Warehouse form, the report also displays the quantity ordered from the supplier with such being added to the free stock.


Hard reservations


For greater control over reservations, in ''Settings'' > Your company" activate the ''Free stock must not be negative'' functionality.



With such functionality, the system disables the shipping of products which would lead to negative free stock. 


This functionality also burdens the transfer of products from the sales order to the packing list, since only the quantity available is transferred. The order of reservations is also taken into account so that the sales order that was created afterward, during the transfer, takes into account the reservations from the past.



Warning: functionality does not prevent the creation of sales order (manually, the order transfer from the online store, API call for recording sales order)

As a result, placing new orders will only lead to negative free stock of the online stores being greater. Therefore, it will not be possible to ship the orders, if the stock is not positive. Example: warehouse stock is 2, there are 4 reservations, and free stock is equal to 2-4=-2. Now, only 1 piece should be shipped. That is still not possible, since the free stock will still be equal to -1. Functionality is appropriate for online stores only if no order should be shipped until the stock becomes positive. Example:

  • orders arrive at MK and negative free stock is created. 
  • no order can be shipped until the free stock becomes positive
  • stock is received and created through goods rec. note, leading to free stock becoming 0 again
  • finally, all orders are shipped.

Releasing a reservation through order status


If the sales order has the status whose additional description is labeled with "manually_closed", "manually_closed_so", "canceled" or "completed", then products belonging to this order will not be considered in reservations.



Order Management - additional statuses for releasing reservations 

In Order Management, additional statuses can be added, which release the reservation of supplies.


Functionality is useful when statuses should be used to mark different scenarios in which the order has not been delivered.

I..e. "Canceled order", "Duplicated order", etc.
